Library Promotion Timeline 2024-25

Library Promotion Process Date

Dean notifies the faculty member of their eligibility to apply for promotion OR candidate notifies dean that they intend to apply for promotion.

Candidate requests an Interfolio case after notifying their dean or supervisor.

Promotion eligibility and process are outlined in CBA Article 22: Promotions for Library Faculty

By April 15, 2024
Candidate submits Promotion Application Form to supervisor and dean. By June 1, 2024
Eligible Library faculty vote for members of a Library Promotion Committee, votes are tallied by Library Administration. The Dean of the Library notifies committee members and sends list of committee members to Academic & Student Affairs. By August 3, 2024
Dean notifies Library faculty of promotion candidates. By August 18, 2024
Candidate submits case in Interfolio. By September 20, 2024

Supervisor review period.

Supervisor’s letter is shared with the candidate in Interfolio.

September 20 - October 18, 2024
Candidate submits optional written response to supervisor letter. By October 25, 2024

Library Promotion Committee review period.

Library committee’s letters are shared with candidates in Interfolio.
October 28 - November 22, 2024

Candidate submits optional written response to committee letter.

By December 3, 2024

Dean review period.

Dean’s letters are shared with candidates in Interfolio.

December 4, 2024 - February 7, 2025

Dean meets with supervisor and library committee if recommendations are different.

Dean meets with the candidate (upon written request) to discuss supervisor and committee letters.

By December 18, 2024

Candidate submits optional written response to Dean letter.

Dean letter is shared with supervisor and committee chair, who shares the letter with committee members.

Provost meets with the Library Promotion Committee and the Dean of Library to discuss those cases in which their recommendations differ.

By February 14, 2025

Provost review period.

Provost’s draft letters are shared with candidates in Interfolio.

February 17 - March 14, 2025

Candidate submits optional written response to Provost’s draft letter.

By March 25, 2025
Provost’s final letters are shared with candidates in Interfolio. By March 31, 2025

Candidate submits optional written response to Provost’s final letter.

Provost letter is shared with Dean, supervisor, and committee chair, who shares the letter with committee members.

Withdrawal deadline: “A candidate for promotion may withdraw, without prejudice, at any stage in the process before March 15 or before the Provost submits their final assessment and recommendation to the President, whichever is later.” (CBA 22.8)

By April 7, 2025

President review period.

President’s letters are shared with candidates in Interfolio.

President letters are shared with Provost, Dean, supervisor, and committee chair, who shares the letters with committee members.
